Tasks — How-To Guide
Everything you need to get work done without another meeting
Creating a Task
- Click + New Task in the top-right corner.
- Write a clear title — use action words: "Call vendor", "Send report", "Fix login bug".
- Set a Due Date — every task needs a deadline.
- Assign it to someone. If it is assigned to everyone, it belongs to no one.
- Choose a Priority: Low / Medium / High / Urgent.
- Add it to a Project to keep things organized.
- Click Save.
Updating Task Status
Open a task and change the status as you work through it:
Private Tasks
Check Private when creating a task to make it visible only to you and assigned team members. Useful for sensitive or personal work items.
Views

Rename a Task Inline
In the List view, click directly on the task title text — it turns into an editable field right there in the row. Press Enter to save or Esc to cancel. No need to open the full task just to fix a typo.
Tags
Add tags to a task to categorise it beyond just project and priority. Tags are free-text labels (e.g. "client-facing", "blocked", "Q2"). You can filter the list by tag to find related tasks across projects.
Time Tracking
Each task has Estimated Hours and Actual Hours fields. You can also use the built-in timer inside a task to log time as you work. The Dashboard shows totals so managers can see where time is being spent.
- Open a task → click Start Timer to begin tracking.
- Click Stop — the time is logged automatically.
- Or enter hours manually in the Log Time field.
Recurring Tasks
For tasks that repeat on a schedule (weekly reports, monthly reviews, daily check-ins), enable Recurring when creating or editing the task. Set the pattern — daily, weekly, monthly — and the system will auto-create the next instance when the current one is completed.
Custom Columns
In the List view, click the + button in the column header row to add optional columns: Task ID, Project, Estimated Hours, Actual Hours, Tags, Last Updated. Each column can be resized by dragging its right edge. Column widths are saved automatically per user.
What is a Subtask?
A subtask is a smaller action that must be done to complete the parent task. It has its own assignee, due date and status.

How to Add a Subtask
- Open any task by clicking on it.
- Scroll to the Subtasks section in the sidebar.
- Click + Add Subtask.
- Give it a title, assignee and due date.
- Save — it now appears nested under the parent task in the list.
What is a Checklist?
A checklist is a list of quick steps inside a task. Think of it as a personal to-do within a to-do. Each item can be checked off as you go.

How to Add a Checklist
- Open the task.
- Find the Checklist section and click + Add Item.
- Type the step and press Enter to add more.
- Check items off as you complete them.
The task card shows checklist progress (e.g. 3/5 done) at a glance.
Watch a Task
Watching a task means you will get notified whenever something changes on it — even if you are not assigned to it. Useful when you need to stay informed without being responsible.
- Open the task.
- Click Watch (eye icon) in the task detail sidebar.
- You will be notified on status changes, new comments and updates.
- Click again to stop watching.
Alert Rules
Alert rules let you set automatic reminders for yourself. There are two kinds:
Set from inside a specific task. Only fires for that task. Good for: "Remind me 2 days before this task is due."
Set from the bell button in the task header. Fires for all tasks you have access to. Good for: "Always alert me when any of my tasks becomes overdue."
Alert Trigger Types

Teams
A Team is a permanent group of people who work together (e.g. "Operations", "Sales", "IT"). Tasks belong to a team, and only team members can see those tasks.
- When you create a task, select the team it belongs to.
- All team members can see and work on the task.
- If you are in only one team, tasks are auto-assigned to your team.
- You can be in multiple teams and filter by team using the filters.
Groups
A Group is a flexible way to share one task with specific people across different teams. Think of it as a tag that connects people.
- Open the task → Groups section → Add group members.
- Members get notified and the task appears in their list.
Manager Dashboard
Switch to the Dashboard view to see team-wide stats: tasks completed, overdue items, workload per person and project progress. Use this at the start of every week.
Instead of a Status Meeting
Before calling a status meeting, check the task list first. If the task is up-to-date, you already have your answer. Require your team to:
- Update task status before end of day.
- Add a comment when they are blocked or need help.
- Set due dates on everything — no open-ended tasks.
Setting Up Alert Rules for Your Team
Set a global alert rule so you are notified when any task assigned to your team becomes overdue. Go to My Rules → Add Rule → Trigger: Overdue → Action: Notification.
Using Projects
Create a Project for every major initiative or client. All related tasks live under that project so you can filter and see progress in one place.
- Go to List view → click Projects in the sidebar or filter.
- Click + New Project to create one.
- When creating tasks, always assign them to the correct project.
Weekly Routine for Managers

What is Quick Task?
Quick Task is a small popup that opens from the ⚡ Quick Task button in the toolbar. It gives you a running checklist for today without having to fill out a full task form.
Behind the scenes it creates a task called "Quick Tasks — Mar 21, 2026" (today's date) and adds each item as a checklist entry. Tomorrow a fresh task is created automatically.
How to use it
- Click ⚡ Quick Task in the toolbar.
- Type what needs to be done in the input field.
- Press Enter or click + to add it.
- Check off items as you complete them.
- Click the icon in the panel header to open the full task with all details.
Adding a Comment
- Open a task — the comment panel is on the right side.
- Type your message in the input box at the bottom.
- Press Enter or click Send.
You can also click the chat bubble icon on any task row in the list view to open the comment panel directly — without opening the full task.
Mentioning Someone (@mention)
Type @ followed by the person's name in any comment to mention them. They will receive an immediate notification — even if they are not watching or assigned to the task.
Reactions (Like)
Hover over any comment to see the like button at the bottom-right corner of the message bubble. Click it to react. Click again to remove. The reaction count is shown on the button.
Reactions can be enabled or disabled by an admin in Module Settings → General → Enable Comment Reactions.
When do you get notified about comments?

Enabling the Meeting Board
The Meeting Board is enabled per app from the task settings panel. Go to Module Settings → Manager Tools → Meeting Board and check Enable Meeting Board, then save. The board settings and Manager Tools settings are saved separately — each has its own Save button so they do not affect each other.
Starting a Session
- Click the Board button in the task toolbar (visible to admins and managers when the board is enabled).
- Click Start a Meeting, enter a title and target duration.
- Optionally add agenda items (one per line) before starting.
- Click Start Meeting — all team members can now see the live board.
During a Session

| Sticky Notes | Type a note, choose a type (General, Blocker, Decision, Idea, Action, FYI) and post it. Anyone can vote on notes to surface the most important ones. |
| Agenda | Check off agenda items as the session progresses. Progress is tracked and shown in the history summary. |
| Announcements | Managers can post announcements with priority levels (Info / Warning / Urgent). Team members must acknowledge them. |
| Polls | Launch a live quick poll — results are shown in real time as people vote. |
| Convert to Task | Click the convert icon on any sticky note to turn it directly into a real task — no copy-pasting needed. |
| Live Presence | See who is currently active on the board in real time. |
Meeting History
After a session ends, it is saved to the history. When there is no active session, click View History to see all past sessions. Each card shows the title, date, who started it, duration, note count and agenda progress.
Click the View button on any history card to open the full session detail — including every agenda item (with done/not-done status) and all the sticky notes that were posted during that session.
App Colors
The Meeting Board automatically uses your app primary and secondary colors — the topbar, buttons, highlights, and vote indicators all follow the colors set in your app theme settings. No manual configuration needed.

Filtering Smart
- Use Status, Priority, Project and Assignee filter buttons to narrow down the list.
- Multiple filters stack — e.g. "High priority + In Progress + My team".
- Active filters appear as coloured tags below the filter bar. Click the × on a tag to remove it.
- On the Dashboard, use the filter bar to change what the charts show — by team, project, time period, or custom date range.
Quick Task Best Practices
- Open Quick Task first thing in the morning — dump everything on your mind into it.
- Check items off throughout the day as you finish them.
- If an item grows into something bigger, open the full task and add details, assignees and a due date.
- Quick Tasks reset daily — each day starts fresh, so do not use it for long-term items.
Recurring Tasks Tip
For anything you do on a schedule — weekly report, monthly invoice check, daily standup notes — create it once as a recurring task. Mark it complete when done and the next one appears automatically. You will never forget a routine task again.
